By booking with us, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions
1. Booking Terms
We reserve the right to refuse or decline any booking at our absolute discretion without providing a reason. If, prior to the start of your trip, we are forced to significantly alter the main characteristics of your retreat due to circumstances beyond our control, we will offer you the choice of an alternative activity or a partial refund.
2. Cancellation & Refund Policy
More than 60 days before departure: 50% refund of the total booking cost. Less than 60 days before departure: No refund. Emergency Cancellations: At our sole discretion, we may consider partial refunds for documented emergencies (e.g., medical or family bereavement). Travel Insurance: If traveling from abroad, valid travel insurance is mandatory. We require that your policy covers retreat activities, unexpected cancellations, sickness, and personal loss. Please keep a copy of your policy with you during the retreat.
3. Minimum Numbers
Our retreats require a minimum number of participants to operate. If there is insufficient demand, we reserve the right to cancel the retreat. In this event, we will notify you as soon as possible (and no later than 7 days before the start date). You will be offered the choice of an alternative retreat or a full refund of all monies paid to Down Dog Retreats. Please note we are not liable for any connected travel arrangements made independently (e.g., train tickets or flights).
4. What’s Included
Weekend Retreat
Three yoga sessions at WYWC.
Two padel sessions at Smash Padel (includes a soft drink and choice of energy bars).
Two sauna sessions at Seascrub Sauna.
First-night dinner (excludes alcoholic drinks).
One Day Retreat
One yoga session at WYWC.
One padel session at Smash Padel (includes a soft drink and choice of energy bars).
One sauna session at Seascrub Sauna.
5. What’s Not Included
Accommodation
Transport to, from, or around Whitstable.
Transport between venues.
Personal expenses and optional activities.
Food, alcohol, and beverages (unless specifically listed above).
6. Health & Safety
Medical Conditions: You must declare any medical conditions or allergies at the time of booking.
Fitness Level: Yoga and padel require a basic level of fitness. It is your responsibility to ensure you are physically fit enough to participate. If you have concerns, please consult a GP before booking.
Assumption of Risk: All activities are undertaken at your own risk. You must follow all safety instructions provided by instructors.
Sauna: All guests must read the Sea Scrub Disclaimer before entering the sauna.
7. Travel & Logistics
All travel arrangements are your responsibility and at your own expense. Down Dog Retreats shall not be held liable for consequences arising from delays or cancellations of your chosen transport. For weekend retreats, please confirm your arrival logistics via email prior to the start date.
8. Liability & Responsibility
Changes to Schedule: We reserve the right to amend the schedule or substitute instructors due to unforeseen circumstances.
Limitation of Liability: Our total liability is limited to the cost of your retreat booking.
Force Majeure: We are not liable for failures to perform caused by issues beyond our control (e.g., extreme weather, strikes, or political instability).
Personal Property: We are not responsible for the loss, theft, or damage of personal belongings at any venue.
9. Behavior & Conduct
We maintain a policy of mutual respect. Excessive alcohol consumption, illegal drug use, or disruptive behavior will result in immediate removal from the retreat without a refund. You must comply with local laws and our retreat guidelines at all times.
10. Privacy & Data Protection
Usage: Your data is used solely for administration and communication regarding your retreat.
Photography: We may take photos/videos for promotional purposes. Please notify us in writing if you wish to opt out.
Retention: Data is securely stored for 3 years for customer service purposes.
11. Governing Law
These terms are governed by English Law, and any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
